NOW HIRING: Family Law Legal Assistant

Inside Passage Law is a boutique Family Law and Mediation Firm, in Kelowna, BC, Canada. We are looking for a smart, savvy, professional full-time Legal / Executive Assistant to work 40 hours a week (8 hours a day) alongside, and in assistance to, Aurora Johannson, at our headquarters in Kelowna, BC. This person must be good at over-the-phone and in person interactions with people such as clients, potential clients, court registry, etc. They must be able to follow specific instructions, stay organized, and also take initiative in order to keep the office running smoothly. This person should be good at working independently and in a group, as we do operate as a team here. The official position start date will be September 1st, 2024, though paid training days will occur prior to the starting date.

Your Job Story

Within two weeks you will 

  • Reliably be checking and responding to messages daily. You’ll ensure the lawyer is aware of key priorities, new developments and ensure the right follow-up tasks are scheduled, tracked and completed. 

  • Assist and lead scheduling for client work and meetings, court dates, rules and more, confidently ensuring that all important dates related to courts or clients' files are captured and tracked. 

  • Be up-to-speed with key files and priorities and take ownership of our back-office systems, ensuring proper digital and paper filing of all client documents.

Within a month you will 

  • Continue with all the above and help to streamline, organize and improve our office efficiency.

  • Understand all our legal and mediation services and client onboarding processes.

  • Be comfortable explaining our core services and fees and be able to fully onboard new clients. 

  • Draft billing, record payments, and ensure our bookkeeper has all key invoices, payment receipts, etc.

  • Manage the Master List, with the lawyer, and make sure there is a next task diarized for every single file and that when one next task is completed, another replaces it until the file is closed.

  • Assist with drafting various documents, complete and submit forms, and diligently complete all tasks assigned by the lawyer, on a case-by-case basis

Within three months you will

  • Understand how to access all of our digital assets and services used for client work and marketing.

  • Update any templates or systems as needed.

  • Update Standard Operating Procedures.

  • Have worked with the marketing team and contributed ideas to the business’s systems, structures and external communication efforts.

OVERALL, YOU’LL BE

  • Professional, reliable, mature and punctual (basically, an adult!)

  • Resourceful, independent, organized, process-oriented, efficient (you prioritize easily, will proactively complete work or find tasks if it’s quiet, keep the office and work organized, and will use and create systems to improve workflow.)

  • A great communicator—diplomatic, clear, calm, with great phone manners and strong writing.  Proactive and reliable:  You readily provide key updates to the lawyer and team.  You can easily complete and report on all assigned tasks. 

  • Able to prioritize the work, and your wellbeing: while there is a fixed weekday schedule, there is flexibility to be discussed with the right candidate.

  • Be kind, committed to what matters most, and focused on doing the right thing, while preventing issues or solving problems. 

AND FINALLY, YOU MUST 

  • Have the essential mix of experience, training and skills to understand or learn how British Columbia’s legal system works: You can confidently identify and prioritize important documents, communications and dates throughout our work with courts and clients (We’ll verify this during the interview).

  • Must be fluent in English both verbally and in writing.

  • Be legally able to work in Canada now and be a resident of the Kelowna BC area.

  • Be able to write formal letters with proper grammar and punctuation.

  • Be looking for a regular full-time position that fits your goals and schedule in the medium to long-term. 

  • Have a growth mindset, be smart and emotionally intelligent, lighthearted, and have a great sense of humour.

  • Be digitally savvy: You’re experienced with Gmail (advanced sorts, filter, etc), Google Workspace (Google Drive, Sheets, etc.), Open Office, Zoom. In short: Tech is your friend. It makes you work better, smarter and faster.

  • Have your own vehicle (optional).
